What to Look for in a Utah HOA Management Company (10-Point Checklist)
1. Do They Know Utah HOA Law?
Utah's Community Association Act, reserve requirements, lien procedures, and ombudsman process are all Utah-specific. A national company that manages HOAs in 40 states may not have staff that knows Utah law cold. Ask specifically: "Who on your team handles regulatory compliance, and how do they stay current on Utah HOA legislation?" You want someone who can answer without hesitation.
2. Are They Local?
Emergency response time matters. A management company that's two states away cannot be on-site for an urgent situation. Ask: "How quickly can you have someone at our community if needed?" Utah Management can reach any community we manage FAST.
3. What Does the Technology Platform Include?
A modern homeowner portal, online payments, work order tracking, and automated financial reporting should be included — not extra-cost add-ons. Ask for a live demo of the homeowner portal before signing anything.
4. What's the Actual All-In Cost?
Get a full fee schedule. Ask specifically about: meeting attendance fees, after-hours charges, resale certificate fees, postage charges, violation letter fees, and software subscription costs. Some companies advertise $8/unit but charge $5 for every letter mailed and $30 per violation sent. Know the total before you sign.
5. What Are Their Contract Terms?
Multi-year contracts with early termination penalties are a red flag. A confident management company doesn't need to lock you in. Ask: "What's your contract term and termination clause?" Short notice periods (30–60 days) and no long-term commitments are the right answer.
6. How Do They Handle Financial Controls?
Ask how the management company separates your HOA's funds from other associations and from the management company's own accounts. Look for: dedicated HOA bank accounts, dual-signature requirements on large checks, fidelity insurance, and monthly bank reconciliations. Financial mismanagement is a leading reason HOAs fire management companies.
7. Can They Provide References from Similar Communities?
Ask for references from HOAs similar to yours in size and type — not the biggest communities on their roster. Call the references. Ask specifically: "Has management ever missed something you wish they'd caught earlier?" You'll learn more from that question than from "are you happy with them?"
8. How Is Communication Handled?
Find out: Who is your dedicated contact? What's their response time commitment? What happens when they're on vacation? Poor communication is the number one complaint homeowners have about management companies. Test responsiveness during the sales process — if they're slow to respond when they're trying to win your business, they'll be slower once you're signed.
9. Do They Have Experience with Your Community Type?
Condo association management is different from single-family HOA management. Master-planned community management is different from a 30-unit townhome HOA. Make sure the company has direct experience with your specific community type — not just "we manage all kinds of communities."
10. What Does Onboarding Look Like?
Transitions can be messy if they're not managed well. Ask: "Walk me through exactly how you onboard a new community." You want to hear a clear process: collecting records from the outgoing manager, setting up financial accounts, onboarding homeowners to the portal, introducing the management team to the board, and confirming vendor contracts. Vague answers here often mean a rough start.
